Advice on Broadcasting

For many users this is the final objective of the program. After creating and verifying the shift data comes the broadcasting of it. On this page you can broadcast by email and SMS (if the details exist for the personnel). If the staff don't have email their details will be emailed to you if the Post column is checked.

There are a number of different options for you to follow. The program will display its best advice in red. Think carefully about the advice given.

Preparing to Broadcast

An essential step for broadcasting is to have set the settled date in the calendar. You will always broadcast from tomorrow up to the settled date, regardless of any previous broadcasting.

To Broadcast:

  • Ensure that the presets are as you would wish them.
  • Check or uncheck the Email and SMS boxes as appropriate.
  • Alter the Send SMS if you want the SMS messages to be delayed.
  • Click on [Broadcast]. Be patient, it can take a few seconds.

Partial Broadcasts

To protect against internet timeouts, the amount of broadcasted staff may be limited by the program. It will group your staff and may prompt you to send further batches.

Re-broadcasting

If you change something on a rota that has already been broadcast, the persons affected will be marked and a prompt to rebroadcast will appear. If you are planning to broadcast in any case, you should Reset the rebroadcast.

After your broadcast

Normally your broadcasted date will have changed. It will be the same as your settled date. Now you can prepare for your next settled date.

Posted Rotas

Staff without email addresses will be emailed to you, the broadcaster. If an address is on file for that person, it will be printed on the email, enabling you to mail it. Otherwise space will be left for you to write it.

Use the Lines Down and Spaces Right, to line up the printed addresses with your window envelopes.
