This is the primary view of working data, although by no means the only one. You should take time to understand the features available on this page. The various elements have been identified and explained below.
The calendar in its various forms is shown to all users although the level of detail will vary depending on the user level and security access.
Top Section
Items A,B and C are the header elements,which means they show on all screens.
A - The logo
- This shows on every page. It can be replaced by your own logo, go to Set Company to change it.
- Clicking on the logo will toggle you back to the previous view. A very handy feature.
B - The icons
- All users will see these icons, although some are dependent on the user access you define. For example, which users can make leave requests, swap shifts or volunteer.
- Observe how Notices is highlighted in yellow. This means that a new posting has been made on the notice board since the user's last login. Similar highlighting exists for other icons.
C - Alternative Menu
- Clicking on the left arrows will hide the side menus and instead display them in a dropdown list. This enables a wider view of data and is particularly useful on smaller displays.
- This menu area only shows for user levels 0 and 1 which are the admin levels. It is hidden from user levels 2,3 and 4.
D - Tabbed options
- Throughout the website you'll see tabs similar to these. They are similar or related pages designed to aid your navigation through the program.
- When you're done learning about the Calendar page we recommend that you look at the other ways the staff working data can be displayed.
E - Alert buttons
- Sometimes the program will bring things to the administrator's attention with these alert buttons. Clicking on them will take you to the relevant page requiring administrator attention.
F - Date navigation
- By default the Calendar page displays the next 4 weeks including the current one. There are several methods of viewing other date periods.
- Clicking the left arrow takes the calendar display back one week. (The right arrow takes the Calendar forward a week.)
- To quickly move to any date complete the ddmmyy box.
G - Date dropdown list
- To move quickly to a week in the future select a date from the dropdown list.
H - Filter the staff display
- Using these dropdown filters can answer a lot of questions you might have about your working staff.
- The 'Just me' and the 'My Location' checkboxes are very quick ways to change the display of working staff.
Options, Reports and Print
COPY DAY
- To copy a day's working to other days, click on Copy. A pop up will appear.
HOURS, SHIFTS
- To view the hours/shifts worked by staff click on Hours Report A new window will open.
- You can leave the window open while you make edits.
- Return to the Hours window and click refresh to see the effect of your changes.
PRINTING
- To print the calendar, use the 'printer friendly' options. If you have filtered the calendar use This View to print it.
- The Printer Friendly links will open a new window with a layout designed for clear printing.
- Click on the printer icon in the window to proceed with printing. Before printing you can change the orientation from portrait to landscape.
- Close that window when you are done printing.
Calendar data
A - Starting day of week
- The default is Monday, although you can set it to any day of the week in Set Display
B - Day Link
- Clicking a day number will take you to Day Notes.
- User levels 2, 3 and 4 will be taken to their Day Notes page.
C - Print Day
- Clicking this will pop-up a window with printable data for that day.
- Additionally, you can print sign-in sheets for each location.
D - Working Staff
- Clicking anywhere in the working staff box will take you to Day View or a similar window, whichever one you used last.
- Working staff are shown for this day.
- They are grouped by location, job title and shift start time.
- You can change the format of the names and shift names in Set Display
E- Today Highlight
- The current date is highlighted.
F - My Shifts
- The shifts of the person logged in are highlighted.
- The colour of the shift is determined by the settings in Shift Names.
TEXT SIZE
This website uses relative font sizing throughout, so you can alter the size of the text to your preference. In your browser, choose View > Text Size.
