The Invite page can only be accessed by selecting a shift from the unfilled page.

Functionality

Please take the time to read this information as this webpage has a number of key features to understand.

  • Inviting a person to fill a shift
  • Announcing an open shift to selected staff
  • Opening and closing a shift

Announcing a vacant shift

Let's say you have an unfilled shift, and you want any qualified person to fill it.

The first task is to open the shift. Click the green open button if necessary. It'll now say Open for volunteers.

Now let's choose whom you want to announce the shift to. You have full control over who gets your announcement.

  • If you have a lot of staff you may wish to exclude the working staff by checking the appropriate box.
  • Enter a message in the message box. The program will recall your most recent message. We recommend you keep the message generic as in the example. The website will fill in the shift details so you don't have to.
  • Choose between email, SMS or both.
  • NOTE: If the shift is open, anyone qualified person could see and take the shift from their volunteer page, it isn't just limited to those you've announced.

Inviting

If you have a person in mind to fill a shift, you should do an invite. In doing so, the shift is NOT open to volunteers. Only the invitee will see the invitation on his Volunteer page.

  • Click on the person's name.
  • You can now review his working schedule from around the time of the unfilled shift to determine if he is a suitable candidate for this shift.
  • If you are using linked shifts you will be offered the shifts in a drop down. For example, you want to offer him the shift at the premium rate.
  • Send the invite by email and/or SMS.
  • You can receive an email when accepted or declined.
  • The person can either accept the invitation in their volunteer page or you can accept on their behalf by clicking the link on the Unfilled page.
