Calendar
Checkbox: Prefix with title (Dr, Mr etc)
Display names in calendar (and most other places) as:
- William Shakespeare
- W Shakespeare
- William S
- William
- User's Login Name
Calendar shift time format:
- Afternoon (the name of the shift)
- Aft (the code of the shift)
- 13:00-17:00 (24 hour time)
- 9am-5:30pm (12 hour time)
- Don't show a shift
Checkbox: Hide Calendar ahead of: Broadcasted date. NOTE: Use this option if you don't want staff to see entries in their calendar until you have finalised them by broadcasting.
Preferred menu:
- Dropdown
- Side Bar
The starting default is a side bar so that new users can readily see the options available. However, once most of the setting up is done, a user is likely to switch to the dropdown menu so that the full width of the screen is made available for viewing data.
Day View
The Day View is an important tools for directly manipulating the rota. These options allow the administrator to set a preferred default order of two columns. For example, sort by Job Title, Location or Last name.
Day graph
You may prefer for the shift blocks to show more than the person's name. Checkbox options:
- Show Job Code
- Show Shift Times
User-defined fields in staff records
To assist with recording miscellaneous data in staff records, 3 user definable fields are available. After naming them here they will show as the labels of those fields in the staff record.
Printout preferences
There are 3 different layouts for the Day Print. These are:
- Location/Columns
- Listing
- Graph
We recommend the user tries these to determine which is the most useful in their situation.
Mins by time
Set the minutes interval used in the min by time. By default this is set to 30 minutes but may be amended to 5,10,15,20,30 or 60 minutes.
Swaps and Volunteers
Cut off point for swapping. Don't allow swaps where less than: ?? days ahead. (Where ?? is the number of days you set.)
Do you want staff to be able to remove themselves from the rota for dates beyond the Settled Date?
This option is not usually chosen unless staff are responsible for rostering themselves
Allow self removals, but not less than ?? days ahead. (Where ?? is the days you set)
Do you have the multiple instances of the same shift for each day? If so, it could take up a lot of space in the volunteers unfilled slots list:
Checkbox options:
- Hide identical shifts
A textbox enables you to have an announcement on the volunteer page. This could be for rules and constraints you put upon their volunteering, such as maximum number of shifts.
