The best way to learn is by doing, so please follow these steps on your trial rota.

Log in as a staff member.

Log out, and try logging in as Alan (one of the demo staff created with your trial.)

Username: Alan
Password: Alan

Alan is user level 2, which means he doesn't have access to administration functions. He can, however, view and print the calendar, and use the dropdown filters to selectively view the calendar. Notice how the logged in user's name is always highlighted.

Alan can also request days off, swap shifts with other staff, volunteer for unfilled shifts, contribute to the notice board, change his contact details and password.

Let's try something! Alan wants to take a week's leave.

Click on the Leave icon. (NOT HERE...In your actual rota. )

Clicking on the date in the calendar box will set the dates of Alan's requested break. He can optionally make a comment about this request.

Alan can also make a comment on the Notice Board.

Click the Notices icon and then the 'New Topic' button.

Then write a message:

Click the Log out button and log in with your own name. If you're getting started the username and password is still your first name.

Activity alerts

After you have logged in with your own user details you'll see some yellow on your screen. This is the alert colour, which should prompt you to click on the item:

All staff will get the Notices alert, which will return to normal colours after they have clicked on it. A great way to keep staff informed!

You, as the administrator, will also see an Authorise Requests button, taking you to the page where requests are waiting for action.

If you have been following along with the example you will also have had an email notification of this request by now.

Broadcasting the Rota

We readily admit that it can take some time to get all your staff rostered for future weeks. Here's the reward for your effort:

Click on the Broadcast item in the left hand menu:

No need to change the options on this occasion, just click the broadcast button:

That's it. Your schedule has been broadcasted, with each person receiving a customised email detailing their upcoming shifts.

If you followed along with this on your own rota you will have received a few emails now.

The reason for this is that the staff without an email address on file will have their email redirected to you (whoever does the broadcasting). If you have a person's home address on file this will be shown on the email, so that the printed email can be snail-mailed to the recipient.
