Weekly Template

The Weekly Template is a great way of filling your rota with all the regular assignments. You can create up to 9 weeks to rotate. Unlike rotation and personal patterns, the Weekly Template supports split shifts. For example a doctor might work Wednesday morning in one location and the afternoon in another. Recommended to any organisations that rota on a weekly (or multiples of) pattern.

LET'S GET STARTED!

Before you create your Weekly Template it is recommended that you set up your Minimums By Shift, as these will help you fill your Template.

When you first go to the Weekly Template you'll see a lot of white space. This means that the page hasn't been activated. Click the activate button.

  • The unfilled posts have arrived from your Minimums By Shift. These are here to help you create your Template.
  • Notice how the Rest and Available are shown - these are taken from the defaults you set in Staff.
  • Clicking on any letters in the grid will create a popup box, where you can set the assignment for that person and day. Repeat the process throughout the grid. Notice how the unfilled posts will disappear if you match them with your assignment.

Alternatively, you can click on the unfilled posts, and choose a suitably qualified person.

  • If you have a lot of unfilled assignments, you can view on one location at a time, by using the drop down.
  • If viewing one location you can also check the box if you only want to see staff for whom that is their default location.

  • To create a second week, change the week number at the top right.
  • Activate it.
  • You may find it quicker to copy from Week 1, and then edit as necessary.
  • If you activate a week and then find you don't need it, you should Delete.

That's all there is to it! Be aware that if you change the Minimums by Shift or add new staff you will need to click Activate again. (Clicking the Activate is always safe.)

After you have done this you are ready to go to Weekly Template Apply
