Weekly Template Apply

Once you have set some staff on the Weekly Template you're ready to apply them to the rota. You have a choice of applying all, new staff or individual staff.

Set the Date
You can't apply anything until you have a start date. Depending on the number of template weeks you are using, it's possible that you need to set a start date in the past. For example if you have an 8 week template and next week is actually week 6. That's fine, just find your past date for what would have been week 1.
Apply to All Staff
The 'Apply to' dropdown gives you the option of whom to apply the template. Applying to all staff means the following:
- Any staff that occur in the template for that week will have all their shifts for the given week replaced by whatever is in the template.
- Any prior Leave Days and Firm Rest Days in the calendar will be honoured and not overwritten by the Template items.
- Beware of swaps! If you are (re)applying the template for a week that has already been rota'd, it is possible that staff have swapped shifts. If so, these will be overwritten by this apply process. You may wish to use Apply New.
The 'Last Applied' column will show who last did this and when.
Apply to New Staff
This option should be used where there are already rota entries in the calendar. For example if you have a new member of staff, but don't want to disturb any other shifts.
This works on the following criteria:
- Only staff who have items in the relevant week template, and WITHOUT entries in the calendar for the given week will be affected.
If unsure, use the Preview link.
The 'Last Applied' column will show who last did this and when.
Apply to Specific Staff
Select the staff name in the dropdown if you only need to apply for one person. Note that update details are NOT shown in the Last Applied column.
